Terms & Conditions

References to “us”, “we”, “our” or “the Company” in these terms and conditions refer to Bright Horizon Travel Limited, registered in England No. 6801795. Except as otherwise agreed, Bright Horizon Travel Limited and its Client (or “Client”) and/or Agent (or “Agent”) agree that the terms and conditions for the services rendered by Bright Horizon Travel Limited to the Client, whether on an individual or tour basis (or the “Services”) shall be governed by the Booking Conditions set out below and the said Booking Conditions shall form a Service Contract, whether verbal or written, entered into between Bright Horizon Travel Limited and the Client/Agent.


  • All quotations for travel within 6 months are considered firm and are valid for 30 days, unless otherwise stated, but subject to change in line with unforeseen increases in tax, currency fluctuation or fuel surcharges, which are beyond our control. An increase is considered above 2%.
  • All quotations for travel beyond 6 months are considered provisional, unless otherwise stated.
  • All quotations/reservations are strictly subject to availability at the time of confirmation.
  • VAT is included at the current rate of 20%. Any variation will be reflected in our final tour price and the Client/Agent will be notified at the appropriate time.


  • All payments are to be made by swift/bank/telegraphic transfer or bankers draft, unless otherwise agreed. Any charges levied by the sending bank relating to transfers to the Company must be paid by the client/agent.
  • A 10% deposit is required three months prior to arrival or with confirmation if quotation is accepted after that date.
  • Some suppliers require deposits or full payment earlier, in which case the Client/Agent will be notified and any additional payments will be requested at the appropriate time.
  • An invoice for the balance will be issued approximately 8 weeks before arrival; full payment must be received no later than one month prior to arrival.
  • All payments must be in Sterling or Euros unless otherwise agreed.
  • Where agreed, payments in currencies other than Sterling will be at the rate of exchange agreed at the point of invoice.
  • Non-compliance with these terms could result in the cancellation of all arrangements.


  • All deposits are refundable, less any costs incurred by us which cannot be recovered from our suppliers.
  • All cancellation requests must be in writing.
  • Cancellations received in writing are subject to the following cancellation fees:
    • Received within 30 days of travel - subject to a 20% cancellation fee.
    • Received within 15 days of travel - subject to a 50% cancellation fee.
    • Received within 7 days of arrival - subject to a 100% cancellation fee.
  • There will be no refund for unused services or for changes to services booked during the programme.


  • Bright Horizon Travel Limited, hereinafter called the Tour Operator, act as agents between the Agent/Client and hotels, transport operators, and any other related contractor/company associated with the booking made through the said operator.
  • We shall be responsible for supplying all services included in the accepted quotation, except where such services cannot be supplied due to delays or other causes beyond our control. In such circumstances we shall do our utmost to supply comparable services/accommodation and there shall be no refund in this connection.
  • We shall not accept any responsibility in the event of loss, accident, illness, injury, death, negligence, damage, delay, or any other irregularity which is beyond our control, and/or sustained by an act or default of any person or company providing a Service to the Client/Agent.
  • We shall not be liable for additional expenses, or damages incurred due to delay, accident, natural disaster, adverse weather conditions, political action or unrest.
  • The carriers, hotels and other suppliers who provide services on tour are independent contractors and are not agents or employees of the Company. We are not responsible for any criminal conduct by third parties.
  • It is the responsibility of the Client/Agent and/or the tour participant to take out applicable travel insurance covering, cancellation, medical & repatriation, personal liability and baggage. The Company cannot be held liable for any consequence of failing to comply with this requirement.
  • These terms and conditions are subject to English Law and jurisdiction. No additions, deletions, changes or promises may be made relating to this agreement except in writing by a Director of the Company.
